Het Noteerhuis values your privacy. We therefore only process data that is necessary for the provision and improvement of our services and handle the information we collect about you and your use of our services with great care. We never make your personal data available to third parties for commercial purposes.

This Privacy Policy applies to the use of the Het Noteerhuis website and the services made available through it. The effective date of this policy is 27/01/2022. The publication of a new version supersedes all previous versions. Below you can read how we process your data, where it is stored, which security measures we use, and who may have access to it.

Webshop Software

e-Commerce Platform

Our webshop is built using a standard configurable e-commerce platform. Personal data that you provide to us for the purpose of our services is not shared with the developers of this platform. The platform provider does not have access to your data, although access may be granted if technical support is required. They will never use your data for any other purpose.

Under our agreement with the platform provider, appropriate security measures are required. These measures include SSL encryption and a strong password policy. The platform provider uses cookies to collect technical information about the use of the software. No personal data is collected or stored through these cookies. Please also refer to our Cookie Policy.

The platform provider reserves the right to share aggregated data within its own group of companies in order to further improve its services.

e-Commerce Hosting

We have chosen Lightspeed as the hosting provider for our webshop (see also “Web Hosting” below). Personal data that you provide to us for the purpose of our services is shared with this provider. Lightspeed does not have direct access to your data but may be granted access when necessary to provide technical support. They will never use your data for any other purpose.

Under our agreement with Lightspeed, appropriate security measures are required. These measures include SSL encryption and a strong password policy, including two-factor authentication (2FA).

Backups are made regularly to prevent data loss.

Web Hosting

Lightspeed

We use the services of Lightspeed for web hosting and email services. Lightspeed does not process personal data on our behalf for its own purposes. However, it may collect metadata related to the use of its services. This metadata does not contain personal information.

Lightspeed has implemented appropriate technical and organisational measures to prevent loss, misuse, or unauthorised access to your personal data. Under the terms of our agreement, Lightspeed is bound by confidentiality obligations.

Email and Mailing Lists

Laposta

We use Laposta to send our email newsletters. Laposta will never use your name or email address for its own purposes.

Every newsletter sent through our website contains an unsubscribe link. If you choose to unsubscribe, you will no longer receive our newsletters.

Your personal data is securely stored by Laposta. Laposta uses cookies and similar internet technologies to determine whether emails are opened and read. Laposta reserves the right to use aggregated data to improve its services and may share such information with third parties for that purpose.

Lightspeed

We use the services of Lightspeed for our regular business email communications. This provider has implemented appropriate technical and organisational measures to minimise the risk of misuse, loss, or corruption of your data and ours.

Lightspeed does not have access to our mailbox, and all email communications are treated as confidential.

Payment Processors

Mollie

We use the Mollie platform to process (part of) the payments made through our webshop. Mollie processes your name, address, city, and payment details, such as your bank account or credit card number.

Mollie has implemented appropriate technical and organisational measures to protect your personal data. Mollie reserves the right to use your data to further improve its services and may share anonymised data with third parties for that purpose.

All safeguards described above with regard to the protection of your personal data also apply to any services provided by third parties engaged by Mollie. Mollie does not retain your data for longer than legally permitted.

Reviews

WebwinkelKeur

We collect customer reviews through the WebwinkelKeur platform. If you leave a review via WebwinkelKeur, you are required to provide your name and email address. WebwinkelKeur shares this information with us so that we can link the review to your order. WebwinkelKeur also publishes your name on its own website.

In some cases, WebwinkelKeur may contact you to request further clarification regarding your review. If we invite you to leave a review, we will share your name and email address with WebwinkelKeur solely for that purpose.

WebwinkelKeur has implemented appropriate technical and organisational measures to protect your personal data. WebwinkelKeur reserves the right to engage third parties in the provision of its services. We have granted permission for this where necessary. All safeguards described above regarding the protection of personal data also apply to services performed by third parties engaged by WebwinkelKeur.

Shipping and Logistics

PostNL

When you place an order with us, it is our responsibility to ensure that your parcel is delivered to you. To fulfil this obligation, we use the services of PostNL.

For this purpose, we share your name, address, and city details with PostNL. PostNL uses this information solely for the performance of the delivery agreement. If PostNL engages subcontractors, your information may also be shared with those parties where necessary.

When visitors leave comments on our website, we collect the information displayed in the comment form, as well as the visitor’s IP address and browser user agent string to assist with spam detection.

Embedded Content from Other Websites

Articles and pages on this website may include embedded content, such as videos, images, or other media. Embedded content from third-party websites behaves in exactly the same way as if the visitor had visited the third-party website directly.

Purpose of Data Processing

General Purpose of Processing

We use your data solely for the purpose of providing our services. This means that the purpose of processing is always directly related to the service or transaction you request from us.

We do not use your data for targeted marketing purposes. If you provide us with your information and we wish to contact you at a later date for reasons other than fulfilling your request, we will first ask for your explicit consent.

Your data is not shared with third parties except where necessary to fulfil accounting, administrative, legal, or contractual obligations. All such parties are bound by confidentiality obligations under agreements, professional duties, or applicable legislation.

Automatically Collected Data

Data automatically collected by our website is processed solely for the purpose of improving our services. This data may include your IP address, web browser, and operating system. Such information is not used to personally identify you.

Cooperation with Tax and Criminal Investigations

In certain cases, 2 WAT vof may be legally required to share your data in connection with tax, regulatory, or criminal investigations conducted by public authorities.

In such circumstances, we are obliged to comply with applicable legal requirements. However, we will oppose such requests where legally possible and appropriate.

Data Retention Periods

We retain your data for as long as you remain a customer of Het Noteerhuis. This means that we maintain your customer profile until you indicate that you no longer wish to use our services. If you notify us accordingly, we will also treat this as a request for erasure.

However, applicable administrative and tax regulations may require us to retain invoices and related personal data for a legally prescribed period. These records will therefore be retained for as long as required by law.

Once your customer profile has been deleted, our employees will no longer have access to it, nor to documents created in connection with your orders or requests.

Your Rights

Under applicable Dutch and European privacy legislation, you have certain rights regarding the personal data processed by or on behalf of Het Noteerhuis.

To prevent misuse, we will generally only send copies of your personal data to the email address already known to us. If you wish to receive your data via a different email address or by post, we may ask you to verify your identity.

We maintain records of completed requests. In the event of an erasure request, only anonymised administrative records will be retained. Copies of your data will be provided in a machine-readable format used within our systems.

You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) if you believe that your personal data is being processed unlawfully.

Right of Access

You have the right to access the personal data that we process and that relates to you or can be traced back to you.

You may submit a request to our Privacy Contact Person. We will respond within 30 days. If your request is granted, we will send a copy of all relevant personal data to the email address known to us, together with an overview of the parties processing that data and the categories under which it is stored.

Right to Rectification

You have the right to request correction of any personal data that we process and that relates to you or can be traced back to you.

You may submit such a request to our Privacy Contact Person. We will respond within 30 days. If your request is granted, we will send confirmation that the data has been corrected.

Right to Restrict Processing

You have the right to request restriction of the processing of your personal data.

You may submit such a request to our Privacy Contact Person. We will respond within 30 days. If your request is granted, we will confirm that your data will no longer be processed until the restriction is lifted.

Right to Data Portability

You have the right to request that personal data relating to you be transferred to another party.

You may submit such a request to our Privacy Contact Person. We will respond within 30 days. If your request is granted, we will provide copies of all personal data concerning you that we or third parties acting on our behalf have processed.

Please note that in such cases we may no longer be able to continue providing our services, as the secure connection between our systems and the transferred data can no longer be guaranteed.

Right to Object and Other Rights

In certain circumstances, you have the right to object to the processing of your personal data by or on behalf of 2 WAT vof.

If you object, we will immediately suspend the processing of your data pending the outcome of your objection. If your objection is justified, we will provide copies of the data we process and permanently cease processing it.

You also have the right not to be subject to decisions based solely on automated processing, including profiling. We do not process your personal data in a manner that would trigger this right. If you believe otherwise, please contact our Privacy Contact Person.
